Why Stay at an Official AJA Hotel?
 
Great Rates. AJA has negotiated special housing rates–typically well below the standard rates available to the public–for attendees and exhibitors at the following hotels. Booking a reservation in the AJA block makes it possible for AJA to secure the meeting space necessary for the conference at a reduced price to the association. If AJA falls below our guaranteed room nights at the official hotels, we could incur a financial penalty. By staying in the AJA block, you help us to meet the association’s obligation to the hotel, avoid penalties, and keep event costs (and therefore registration costs) down. 
 
Easy Access to AJA Conference Events. Staying in the AJA room block keeps you connected with informal activities and other opportunities that occur at the host hotel during the event.
 
Increased Networking Opportunities. You have a greater chance of interacting with fellow attendees by staying in the block. Strike up conversations in the hotel lobby, the elevator, or at the hotel food outlets, and make connections to improve your conference experience.
 
Relaxing Stay. Arrive a few days early, or stay a few days after to enjoy the beautiful sights. Our event hotels offer discounted rates based on availability.
 
AJA Assistance. When you choose other hotels outside of the AJA block, the organization has no contacts or leverage to help rectify a problem that you may have encountered.

Reservations
Rooms are assigned on a first-come, first-served basis. After April 23, 2024, rooms and rates are based on availability.

Making Your Reservation

• When making your reservation online or by phone, have the following information ready:
• Attendee name(s) & contact information
• Arrival & departure dates 
• Room type preference*
• Special requests*
• If you are booking at the regular rate or under the federal per diem rate** 
• Payment information

*Please note that room type preference and special requests cannot be guaranteed.
**The federal per diem rate requires that you furnish proper government ID at hotel check-in. Federal per diem rooms are based on limited availability.

Reservation Policies & Procedures

Reservation Guarantee: All hotels require a credit card guarantee at the time of booking. Requests received without a guarantee will not be processed.

Changes/Cancellations: For all hotels, cancellation must be made 72 hours prior to your arrival to avoid a one-night room and tax deposit forfeit.

Early Departure Fee: None of the hotels has an early departure fee.

Prepay Full Amount: To prepay the full amount, contact the hotel and request a credit card authorization form, or send a check addressed to the hotel’s accounting department with the name of the guest(s) and confirmation number(s). Checks must be received 2 weeks prior to arrival date to allow for time to process the checks.

Agency/Company Credit Card: If paying with a different credit card name than that which the room is under, a credit card authorization form needs to be provided prior to arrival at the hotel. To obtain this authorization, call the hotel directly by phone. The hotels cannot accept credit cards with a different name from the registered guest at the front desk at check-in.

Check-In/Check-Out Times:
Hilton Marina: check-in time is 4 p.m.; check-out time is 11 a.m.
Embassy Suites: check-in time is 4 p.m.; check-out is 11 a.m. 
Renaissance: check-in time is 4 p.m.; check-out is 11 a.m.
